Privacy Policy

This Privacy Policy explains how TaskFlow (“TaskFlow”, “we”, “us”) handles information in the TaskFlow web application and the TaskFlow browser extension (together, the “Service”). The Service is a task-management tool used by our organisation and its members.

Information we process

  • Account & authentication data — your name, email address, and the session tokens used to keep you signed in.
  • Work data you create — projects, tasks, comments, meetings, and related content you enter into TaskFlow.
  • Meeting transcripts (browser extension) — when you choose to start a capture in a Google Meet call, the extension reads Google Meet’s on-screen live captions from that tab and sends the resulting text transcript to your TaskFlow account. The extension does not record audio or video, does not use any Google account/API, and captures nothing until you start it and only while captions are enabled by a participant.

How we use it

We use this information solely to provide the Service: to authenticate you, to store and display your tasks and meetings, and—when you request it—to analyse a meeting transcript into suggested tasks, decisions, and a summary. We do not use your data for advertising and we do not sell it.

Service providers

We rely on a small number of processors to run the Service, who handle data only on our behalf:

  • Hosting/database (Railway) — stores the application data and transcripts.
  • AI analysis (Anthropic, “Claude”) — when you click to analyse a transcript, its text is sent to Anthropic’s API to generate the task suggestions and summary, then returned to you.

Data sharing

We do not sell or transfer your data to third parties outside of the service providers above, we do not use it for purposes unrelated to the Service’s single purpose, and we do not use it to determine creditworthiness or for lending purposes.

Storage & security

Data is stored in our hosted database and transmitted over encrypted (HTTPS) connections. The browser extension stores only your session token and settings locally in your browser. We retain your data for as long as your account is active; you can request deletion of your account and associated data at any time.

Your choices

You control when capture runs (it is off until you start it). You can disconnect or remove the extension at any time, and you can ask us to access, correct, or delete your data.
